7.1.6 Displaying and Hiding The Day Column
Before you install the software ensure that your computer is using Windows XP,
and that all the latest upgrades from Microsoft have been installed.
To get all the latest upgrades for Windows XP use Windows Update. If you are not sure how to do this then call K Lore for support on 01527 570906.
To install the software insert the CD and click start on the start menu. After a few seconds a Window will appear similar to:-

If you were to double click on the ReadMeFirst_IMPORTANT.pdf document you would find that this document contains the same information as the one you are currently reading, this document is also available from the software’s help menu. If this popup window does not appear then navigate to your CD/DVD drive by whatever means you are able, or call K Lore for support.
Once the popup window is displayed click on setup1.bat. Click next or Ok or tick any boxes that appear. If you are upgrading from an earlier version then this step will complete very quickly. After setup1.bat has completed repeat the same process with setup2.bat and setup3.bat.
A “FCL Centre Management System” program shortcut will appear on your computer desk top as well as under Start | All Programs | K Lore. Use either of these shortcuts to run the software.
The first time you run the software you will get a “Splash Screen”:-

Then a message will appear saying that the software you are running is not licensed (or a slightly different message if you are not connected to the internet):-

Click the OK button and the following message will appear:

Once you click OK the following screen will appear:-

You will have received separate
instructions from K Lore with the licence information to enter into this
screen.

When the correct information is entered click the OK button. Now close down the software and re-run it. Assuming you are now connected to the internet and the information on your computer and on the K Lore website is correct the software should now run and display the setting screen:

You will now need to set up your centres (and associated sessions), and then your students before you can start setting.

When the software first starts click on centres button to display the “Centres” screen:-

This screen is password protected. This is because the centre and session information that you set up on this screen cannot be deleted. The password protection is there to prevent you from starting the software for the first time and thinking that you can come to this screen and experiment. Deleting a centre would be a complex task and should in practice never be possible; this is because the moment a student session has been recorded at a centre the centre cannot be deleted because historical student information exists that relies on a session being present. To create your centres and sessions first click on the Centre or Current Centre areas of the screen as shown:-

You will be prompted for a password. Enter the word change and press enter.

The screen will update showing you an Add a Centre button:-

Click the Add a centre button and you will get:-

Enter your centre name and tick the Current
Centre box to indicate that this is a “Live” centre then press enter. E.g:

The Add a session button is now enabled. Now click this button and the screen will update similar to:-

Complete the session description day and tick the current session box then press enter. The screen will update and look similar to this screen:

Continue adding centre and sessions as required until you have finished e.g.

Note it is possible to hide and display the
information displayed on this screen by clicking on the – or + on the left of
the screen e.g.

Now if you click on the Setting button on the left hand side the setting screen will be displayed with the sessions that you have defined for the next seven days:

You might need to experiment with the descriptions that you gave your sessions on the centres screen to get the session descriptions on this setting screen to be easily readable.
You have now set up your centres and sessions and are ready to move onto setting up your students.

Click on the “Students” button on the left hand side to display the students tab:-

Use Add Student, Update Student, and Delete Student buttons on the left to maintain student records. A summary of the student records are displayed on this screen.
Clicking the Add Student button on the students tab will display:-

First Name and Last Name are required fields on this screen. If you do not enter a First and Last Name you will get the error message:

If you click OK you will be able to enter the missing information, if you click
cancel the add student screen will close without creating a new student.
Complete the rest of the fields on this screen as required. When you initially tick the Maths Student or
English Student box a new screen will be displayed:-
Ticking the Maths Student box on the Student screen displays the New Maths Enrolment screen:

Complete the fields on this screen as
required.

A students planned attendance is automatically flagged as current. If this current flag is unticked they will not be listed as attending this session when work is set in the future.
A student’s planned attendance can be ticked to allow auto setting. Allowing auto setting is ticked automatically.
Additional attendances can be added or all removed by clicking on the following buttons:

Once this screen is completed and OK is clicked a Maths Enrolment Tab is added behind the Students details tab e.g.

When the Maths Enrolment tab is selected the details displayed are the same as those seen on the Enrolment Creation screen:-

The information recorded about English and maths enrolment is the same, see section 4.1 New Maths Enrolment.
The Student update screens look very
similar to the Add screens and can be used in a similar manner.
It is currently not possible to delete a
student once they have work set for them on a particular session. It is possible to use the delete student
option to effectively hide a student from the setting area of the software and
“flag a student for future deletion”.
The setting screen is displayed automatically when the software first starts:

The sessions that will occur over the next seven days from today’s date are displayed on the left side of the screen.
The students attending the selected session (highlighted in blue on the left) are displayed on the right.
If you choose to change the date displayed
against “Show Sessions From Date” you can display historic sessions or sessions
into the future.
A variety of useful information can be recorded on this screen:-

It is possible to record whether you have printed a particular student’s homework record sheet:

This field is
ticked automatically for you when you print a homework record sheet (see
sections 7.1 Manual
Set for Student 7.3
Print All). You can also untick and tick the Printed field if
you wish.

on the setting screens allows a user to manually set a individual student’s
work for a particular session. |

Text input can be moved around the grid using the left right and up and down
arrows and the tab keys (tab forward and shift tab to go backwards).

Within the previous sessions sections of the setting screen it is possible look back over what has been set during the previous weeks. The number of previous weeks to look back can be adjusted by changing the “Previous Weeks:” value:

Autosetting can be enabled or disabled for individual students. If auto setting is enabled then the “Autosetting Parameters:” can be completed:

Enter the module you want to set (press ESC to close the pop up module picker if necessary). Enter the sheets per day you want to set for the module. Enter the number of days that you want to set the module for, this should be set to one for the first row which will be your class day. Tick whether the row you entered represents a class day. You could setup multiple modules for a class day. You could then setup the second row to say that worksheets should be set for a module at a rate of two sheets per day for five days, and that these are not class days.
An individual student can be set by clicking the “Do Autoset” button.
If auto setting is enabled then the software will attempt to auto set the
student, and any others marked with auto setting enabled when a users clicks “
Auto Set For Students” on the main setting screen, see section 7.2
Auto Set For Students.
Private enrolment notes can be kept against
each student:-

It is possible to switch off the comments column. By going to Setup Options and de-selecting the Comments option (see the Installing the Software section).

It is possible to set work on a day basis by ticking the Setup Options Day tick box (see the Installing the Software section).

Clicking “Auto Set For Students” on the
setting screens allows a user to auto set all students that have been
configured for auto setting.

Clicking the “Auto Set For Students” button displays a selection screen:

When this screen is displayed a list of students will be displayed that will be autoset if you clicked the AutoSet button on this window.
You could click the Maths or English or All selector to select different student for autosetting alternatively you could untick students from the list to just autoset a few students.
Students will appear in this list if:
You can display all the students for a session and find out why they are not shown as being able to be auto set by unticking the “Hide Students That Cannot Be Autoset”.

The “Print All” button prints all the unprinted homework record sheets for the selected session’s students that are either “Set” or “Auto Set” and have not previously been printed.

Once print all starts a dialogue displays on which you can click cancel but you
will have to be quick.
The reports that are available can be
accessed by clicking on the Reports option on the left hand size of the screen:

Three report are buttons are available
which are described in the following sections:-
Produces a progress report based on dates:

The report is displayed for the currently selected student. Dates are displayed automatically against modules where a student has been set work. The dates that appear will be for when the student started on a module and was last set a module. Date will only appear on the progress report if you tick the selected box. You can also enter or amend dates. Dates that are ticked as selected will be remembered. Dates that are unticked will be forgotten and re-calculated / left blank the next time the form is open. Dates can be recalculated by clicking refresh, only unticked dates are recalculated. Remarks can be added to the report by entering text in the Remarks box. The report can be printed by clicking the print button. This report is based on a design supplied on the Centre Manager’s CD. Users may find the “Progress Plot” a more useful and informative report. |

Click on the Programs button to display the programs screen:

The program tabs are password protected. You can update the data on the My
Maths Programme or My English Programme by entering the password change.
The Maths DLS V2.0 and English DLS V2.0 modules cannot be updated by
you, but will be updated by a new release from K Lore.

The + and – boxes on the left can be
clicked on to expand and contract the details under a module.

Click and then enter the password change.
